Multi-Site Delivery and Stock Application

Ordering, approval, delivery and stock reconciliation across several hospitality sites, with driver, site and administrator views of the same data.

This project is still being built.

Interface outline. Structure is shown; no live or client data is published.

The business problem

What was going wrong

Ordering stock across several sites was running on phone calls, text messages and spreadsheets. Nobody could see what had been ordered against what had arrived, approvals happened verbally, and reconciling deliveries against invoices at month end meant going back through messages.

The solution

What we proposed

One application with three views of the same data: sites raise and track orders, drivers work a delivery run and capture proof at the door, and administrators approve, adjust and reconcile. Point of sale product data feeds the catalogue so the ordering list matches what the sites actually sell, and scheduled reports go out without anyone assembling them.

Key functionality

What it does.

  • Site ordering against a catalogue synchronised from point of sale product data
  • Approval routing with per-site thresholds
  • Driver delivery run with pickup and drop-off tracking
  • Signature capture as proof of delivery
  • Stock reconciliation between ordered, delivered and received
  • PDF documents and spreadsheet exports
  • Scheduled reports delivered by email
  • Role-based access separating site, driver and administrator

Technology

What it is built on

  • Next.js App Router
  • TypeScript
  • Supabase (PostgreSQL, auth, row level security)
  • Zod and React Hook Form
  • Resend for transactional email
  • React PDF for delivery documents
  • Point of sale data integration

Process

How it ran

  1. 01

    Discover

Followed a real order from request to invoice and recorded every handoff.

  2. 02

    Plan

Defined the roles, the approval rules and what each role may see.

  3. 03

    Design

Designed the driver view for a phone in one hand at a loading dock.

  4. 04

    Build

Built ordering, approvals, delivery capture and reconciliation.

  5. 05

    Test

Ongoing testing across roles, sites and offline conditions.
